terms and conditions

Our terms and conditions describe our policies and procedures and outline the contractual relationship between you and Reservoir View Holiday Cottages.  Before making a booking, we request that you please read our terms and conditions set out below.

Bookings

The Contract for a short-term holiday rental will be between Reservoir View Holiday Cottages (referred to as “us”, “we” or “our”) and the person making the booking and all members of the holiday party (referred to as “you” or “your”)

The person booking the accommodation must be over 18 years of age and agree that your booking is for the sole purpose of providing self-catered holiday accommodation.  Upon booking it is assumed that all members of your party agree to the terms and conditions.  We can accept bookings via our website, email or phone.  Please note if using email to make a booking we cannot guarantee these are picked up immediately, therefore we do suggest either going through our website or phoning us.

The Contract will not come into force until we have received the Deposit (referred to in Deposit and Payments below). The Contract will be subject to these booking terms and conditions, and must be complied with.  Prior to arrival we must be provided with a full list containing the names, ages and contact details of all guests (which we will hold subject to our privacy policy)

Please check the confirmation and advise us immediately of any required amendments.  Should we believe that a booking is in breach of our terms and conditions we do reserve the right to cancel the booking and will notify you in writing.

Deposit and Payments

Your booking may be placed over the telephone, by email or directly on our online reservation system.  Where your Booking is communicated to us by telephone or by email, we will enter it onto our online reservation system, which will automatically generate a summary by email to the email address you provide.

A 10% non-refundable deposit is required to secure your booking, with the full balance due 6 weeks (42 days) prior to arrival.  If your booking is made within 6 weeks of your arrival date, then your booking will only be confirmed and our contract come into force once we have received a payment in full.  This payment is non-refundable.

Please note we can only accept card payments or BACS.  Regrettably we cannot accept cash as payment for your booking.  If the remaining balance is not paid as stipulated above, then we reserve the right to cancel your booking and any monies paid will be non-refundable.  Should we have to cancel your booking for any reason then we will refund all monies paid.

No entry to our properties will be allowed without payment, in full, being cleared beforehand.

We accept payment by most major credit/debit cards and by bank transfer.

Cancellations

Cancellations must be notified to and received by us in writing (preferably by email) as soon as possible.  Once notification is received we will confirm and process your cancellation request.

Alternatively, should you wish to make any alterations to your booking please inform us within 6 weeks of your arrival.  If the booking is cancelled less than 6 weeks (42 days) before arrival then a charge equal to the full booking amount will be made.  If the booking is cancelled 6 weeks (42 days) or more before arrival date then a charge equal to 10% of the stay will be made.

For this reason, we strongly recommend you take out your own travel insurance for UK holidays which covers booking cancellations.  If you choose not to then you accept responsibility for any loss that you may incur due to your cancellation.  If you must cut short your stay, regrettably we cannot offer any refund unless we can re-let your booking.  Should we be able to re-let your booking, either all or in part, we will refund the amount we have re-sold accordingly

If for any reason we are forced to cancel your booking (or bring it to an end early) due to factors out of our control or unforeseen events affecting us or the property we will refund you the full amount of your remaining booking costs.  This will be the full extent of our liability and no additional compensation, expenses or costs (such as travel or replacement accommodation costs) will be payable.

Covid Cancellation Policy

Should we be closed because of a national lockdown then we can offer a credit of the amount paid to be used within 24 months of your booking or alternatively a refund of any monies paid.  This would also apply should you legally not be allowed to travel because of a local restriction in your area (i.e. tier system) according to current legislation at the time.  The above only covers local and national lockdowns.  It does NOT cover you or any members of your party should you be unable to travel if any one of you were to fall ill with Covid or have to self-isolate.  In this instance we would require that you take out relevant travel insurance and our standard cancellation policy would then apply.

Checking in/out and terms of hire

Check in time is no earlier than 16:00 (UK Time) and check out is no later than 10:00 (UK Time).  Unless expressly agreed by us in writing, you should not arrive before 16:00 hrs on the holiday commencement date, and you must leave and vacate the property by 1000 hrs on the holiday departure date. Failure to do so may result in you being charged a further day’s rental.  This is to ensure we can thoroughly clean and prepare each cottage in between guests.

Before arrival please ensure you have checked your booking confirmation to see which cottage you are staying in and have read all the information in your welcome guide.

You must not use the property except for the purpose of a holiday during the Holiday Period, and not for any other purpose or for a longer period except with our express written agreement.

The Contract is to stay in the property for the holiday period, it does not create the relationship of Landlord and Tenant between the parties.  This Contract relates to a “holiday let” the purpose of which is to confer on you as a holidaymaker the right to occupy our property for a holiday only.  You shall not be entitled to any private residential tenancy or other tenancy, assured short hold or assured tenancy, lease, licence or other right to occupy, nor shall you obtain any security of tenure under any applicable law.  You may not sub-let the property

Under no circumstances may more than the maximum number of persons stated on our website occupy the property, except with our express written permission in which case we shall be entitled to charge an additional fee (for example for Weddings or events at our larger properties). We reserve the right to refuse admittance or require you to leave our property if this condition is not observed. Any persons other than members of your party must not use our accommodation or facilities.  Please note that the properties are unsupervised, therefore used at your own risk.  We cannot accept liability for any damage or injury caused through misuse of our facilities.

We politely ask that you always respect other guests during your stay.  Should we feel that your behaviour is unreasonable then we may, regrettably request that you and your party leave.  In this instance no monies will be refunded.

Each property is carefully prepared for your arrival.  Should you have any queries please do not hesitate to contact us where we will gladly assist.  Unfortunately, we cannot be held legally responsible for any issues which are beyond our control and cannot fix during your stay.  We will endeavour to assist where we can and ensure that we appropriately remedy the situation.  We provide all bed linen and a set of towels per guest.  We also provide all other essentials.  We do not provide cleaning products in the properties for health and safety reasons, however these are available upon request.  Cots and highchairs are available for use in all the properties upon request, however we politely ask that you bring cot bedding.

Damages

You are responsible for the property and are expected to take all reasonable care of its furniture, pictures, fittings and effects, in or on the property. You must leave them in the same state of repair, and in a reasonable clean and tidy condition at the end of the rental period. You must not use the properties for any dangerous, offensive, noxious, noisy, illegal or immoral activities or carry on there any act that may be a nuisance or annoyance to the owner or other neighbouring properties.

Please inform us immediately of any damages.  Regrettably, we may have to incur additional charges depending upon the nature of the damage including additional cleaning charges or the cost to repair or replace.  A fee will be charged to cover the cost of cutting/replacing any lost keys.  We recommend that you have appropriate insurance in place to cover this.  Any property and valuables you bring with you are left entirely at your own risk.

Smoking

Please note all our cottages have a no smoking policy, this includes e-cigarettes.  Please ensure all cigarette ends are carefully extinguished and disposed of before entering the properties.

Parking

We have ample room in our car park, however we politely ask that you park considerably of others.  Your vehicles, their accessories and content are left entirely at your own risk Unfortunately, we cannot be held responsible for any damage to vehicles whilst on the grounds of the property.

Pets

We accept well-behaved/house trained dogs into all our properties for an additional fee of £20 per dog. We allow a maximum of three (3) dogs per property.  Please ensure dogs are kept on leads at all times whilst outside, and ensure all mess is cleared up and disposed of in our refuse bins.  When in the properties, dogs must be kept on the ground floor, off the furniture and out of bedrooms.  We do request that you take dogs with you when leaving the property.  We understand this may not always be possible, however should they be left alone we ask that you do so only if they are comfortable.  You will be held responsible for any damage caused to the property, contents or garden by your dog as per the damages policy above.

WiFi and Internet

Free Wi-Fi and broadband internet is provided for your use.  You agree to reasonable and lawful usage of this service.  Due to our rural location and large stone buildings, signal may not always be strong in certain areas of the property.   We will not be liable for slow connections or for any interruptions to or the failure of this service

Please refer to our privacy policy regarding data we hold and how we use it.  We do endeavour to keep our website as up to date as possible.  We may on occasion alter or improve our properties.  We cannot make any guarantees that our website is accurate or up to date at all times.
